QUALIFICATIONS,REQUIREMENTS, DUTIES AND RESPONSIBILITIES Basic Salary Scale: Ksh.58,360.00 - 90,200.00 (CPSB 06) House Allowance: Ksh. 25,500.00 pmCommuter Allowance: Ksh. 8,000.00 pmOther Allowances as Per the SRC CircularsTerms of Service: Permanent and PensionableRequirements for Appointment:-Served in the grade of Chief Office Administrator an equivalent position for at least three (3) years in job group ‘M’.Diploma in Secretarial Studies from the Kenya National Examinations Council;ORBachelors Degree in Secretarial Studies or Bachelor of Business and Office Management Bachelors Degree in Social Sciences plus a Diploma in Secretarial Studies from a recognized Institution;Higher Diploma in Secretarial Studies or Office Administration is an added advantage.At least six (6) years of experience in office administration, three (3) of which must be at a supervisory level.Shorthand speed of 100 w.p.m. and typing speed of 50 w.p.m.Proficiency in computer applications and modern office systems.Certificate in Secretarial Management Course from Kenya School of Government or any other Government training institute Certificate in Senior Management Course lasting not less than four (4) weeks from a recognized institution; Knowledge and relevant work experience of not less than five (5) years;Certificate in computer applications from a recognized institution; andDemonstrated professional competence in management of office administrative services.Duties and ResponsibilitiesOperating office equipment; Attending to visitors/clients; handling telephone calls;Handling customer inquiries and complaints; coordinating schedules of meetings and appointments;Coordinating travel arrangements; Ensuring security of office records, equipment and documents, including classified materials; ensuring security, integrity and confidentiality of data; establishing and monitoring procedures for record keeping of correspondence and file movements; maintaining an up to date filing system in the office; preparing responses to routine correspondence; managing office protocol and etiquette and managing petty cash and any other office administrative services duties that may be assigned.supervise other office administrative services personnelPlan, monitor and evaluate performance of staff against the set targets.
